Why missed calls are worse than they look

A missed call is not a neutral event. The person on the other end had a need and enough intent to pick up the phone, which makes them the warmest lead your business will see all day. When the call rings out, a small minority leave a voicemail. The rest either try again later, if you are lucky, or call the next business in the search results. For trades, clinics, restaurants and estate agents, that next business is a direct competitor with the same opening hours as you.

The problem compounds after hours. Many businesses take a third of their calls before opening, over lunch or after closing, precisely when nobody is at the desk. Those calls do not show up as "missed" in anyone's head, because nobody heard them ring.

Methodology

  • Missed calls a month = calls a day x business days x unanswered share.
  • Gone for good = missed calls x (1 - share who leave a message or call back).
  • Lost customers = gone for good x new-business share x your normal win rate.
  • Lost revenue = lost customers x value per customer. Use first-job value for a conservative figure or lifetime value for the real one.
  • Recovered with an AI agent = lost revenue x the share of missed calls the AI would answer. An agent that never sleeps and never gets a busy signal answers almost all of them; some callers still hang up on any automated greeting, which is why the default is 90% and not 100%.
